Annual Meeting Results

The board would like to thank everyone who attended the annual meeting. It's always nice to see more involvement in our community.

We met our quorum requirement and the proposed 2012 budget was approved by the voting members.

There were six open board seats for 2012 and it appeared that we did not have enough nominations or returning members to fill out the nine person board. Fortunately there was a large number of floor nominations which allowed us to actually take on two new members.

The board would like to welcome Peter Radynski and Jeff Kim for 2 year terms.

2012 should be a relatively quiet year, there are far fewer large scale projects scheduled than this year. We will continue with our regular repair and paint project for at least 3 streets. We went over budget this year on that project due to a large amount of uninticipated wood repairs. Next year we will assess how much work needs to be done before proceeding to avoid an overage in 2012 and scale back the project if necessary.

Bike Path Update

We just received the following update from the Duluth City Planner's office.

Since this is a federal aid project, it will take a few months to get a set of plans that can be reviewed.  At this point we don’t have any more than a Concert Report that describes the Need and Purpose of the project. 

Below is the project schedule that was submitted to Georgia Department of Transportation for review in the Concept Report;

  • Notice to Proceed – March 2011
  • Concept Approval – August 2011
  • Environmental Approval – November 2011
  • Preliminary Field Plan Review (PFPR) – October 2011
  • R/W Authorization – January 2012
  • Final Field Plan Review (FFPR) – March 2012
  • Project Certifications – May 2012
  • Let to Construction – June 2012

As the schedule shows, we will have preliminary plans in October.  As soon as we are prepared to have our PFPR we will contact you to set up an Open House for your subdivision and others along PIB to discuss the limits of the project.  Individual residents would only be compensated if the City is required to purchase right of way or permanent easements.  We have been told by our consultant that all work would be completed within the limits of the current ROW (Right of Way).

Covenant Amendments

By now, all property owners should have received a packet in the mail that contains a set of recommended amendments to our covenants. We would like to have the packets back by July 15th.  If you have questions about any of the amendments, you are welcome to email them to the office, or come to our monthly meeting on July 12.

Please note that you have the option to vote for each amendment separately or you can just select the option to adopt the amendments as a whole on the second page of the packet.

A majority of the amendments were recommended to us by our attorneys. They made those recommendations based on what they have experienced with other communities like ours, and they feel that these changes will help protect us in the future.

There is no expectation from the board that all owners agree with the amendments, but just to clarify, each item must have YES votes from at least 2/3 of the owners in good standing (current on their dues) in order to be adopted.

After the votes are counted, the results will be posted here at woodehaven.com, and also at the information box near the office.

All Exterior Structural Changes Require Approval

Recently there have been some issues with residents making exterior changes to their townhomes without receiving prior approval from the board. We live in a Covenant community and it is very important that we all abide by those covenants.

Some of the more popular changes that require board approval are; New windows, carport wall modifications, and storm door installations on the front of the building.  All of these changes REQUIRE PRIOR APPROVAL. If approval is not obtained before the work is done, it could result in fines or possibly removal of the unauthorized modifications.

The board members are always eager to assist any resident who would like to update their home to make it more energy efficient or suit their personal needs.

The covenants spell out what types of changes require prior approval, but if you have any questions please contact the POA office.

Board Meeting Schedule

Woodehaven property owners are always welcome to attend the general session of the meeting of the Board of Directors of the Woodehaven at Chattahoochee Crossing Property Owners Association, Inc.

The meetings are normally held on the second Tuesday of every month, January through October at 7:30 PM at the Woodehaven Property Owners Association Office located at:
3570 Riverwood Parkway
Duluth, Georgia 30096

Signs will be posted throughout the community in advance informing residents of the specific dates and times of the upcoming meetings.
